Beanstalk Events cancellation policy
We work hard to keep these events as affordable and accessible as possible. To do that sustainably, we need to fill every seat, especially with limited capacity.
Last-minute cancellations can leave us with empty spots we can’t resell and costs we’ve already committed to (like venues, facilitators, and catering). Your confirmed numbers help us plan effectively and keep these events running smoothly for everyone. Thanks for your understanding and partnership!

Confirming Numbers & Invoicing
- To help us deliver the best possible event, we ask that you confirm your final student and teacher numbers by the listed due date (typically 1 week before the event).
- We’ll send your invoice before the event, based on your confirmed numbers.
- Need a PO number? Please let us know upon registration.
What if your numbers change?
Within two weeks of the event date:
- You can make adjustments to your numbers.
- Please avoid large last-minute drops. In some cases, a $20 fee per unused spot may apply if we’re unable to fill your cancelled seats.
(Why? Those spots are held for you and may prevent others from attending.) For example, if it is within two weeks of the event, another school likely won't be able to organize the trip in time to take your spots.
After the confirmation date:
- Your invoice is locked in based on your confirmed numbers.
- We’ve already made key purchases (like venue, facilitators, and meals), so we can’t reduce your total.
- However, any unused spots will be credited to your account for use at a future event or certification (online or live, anytime).
Day-of No-Shows:
- We cannot refund tickets for day-of absences.
- That said, students who miss the event can still complete the certification online at no extra cost. Just let us know!
- If not used, the value of those tickets becomes Beanstalk credit, flexible and transferable to any future event or program.
