Events cancellation policy
We work hard to keep these events as affordable and accessible as possible. To do that sustainably, we need to fill every seat, especially with limited capacity.
Last-minute cancellations can leave us with empty spots we can’t resell and costs we’ve already committed to (like venues, facilitators, and catering). Your confirmed numbers help us plan effectively and keep these events running smoothly for everyone. Thanks for your understanding and partnership!

Registration Agreement
By signing at registration, you're confirming your registered numbers and agreeing to the terms below on behalf of your school/board. Please register using your guaranteed number of attendees . You're welcome to increase this later as space allows, but the number you sign for is what we use to plan and make purchases.
Need more spots?
You can add additional students or teachers any time up until 1 week before the event, while space allows.
Invoicing
Your invoice will be sent within 3 weeks of the event, based on your registered numbers at that time. If you add attendees after your invoice is sent, we'll issue an updated invoice reflecting the additional seats.
Need to drop your numbers?
Requests to reduce your numbers must be made at least 3 weeks before the event. This is the minimum time another school would realistically need to organize a trip and fill your spots, so it's rarely enough for a waitlisted school to act on shorter notice than that.
Small adjustments are usually easy to accommodate. However, significant reductions (e.g., dropping 20+ seats) cannot be guaranteed, even with advance notice. We'll do our best to accommodate, but large last-minute changes are harder to backfill. It is highly recommended you register for your guaranteed number.

Day-of No-Shows
- Unused tickets due to day-of absences are non-refundable.
- That said, students who miss the event can still complete the certification online at no extra cost. Just let us know!
- Unused tickets may be eligible for Beanstalk Credit at our discretion, up to a max of 10 unused tickets.
